A useful estimate should state the number of conversation paths, channels, integrations, languages, approval steps and expected handover format. It should also make clear who maintains the approved knowledge and what happens when the bot is uncertain.

This makes competing proposals easier to compare because the scope is visible instead of hidden behind a single chatbot price.

Prepare the scope before comparing quotes

List the services the chatbot should handle, the regions served, whether customers may upload photos, the expected handover format and the hours when staff are available. Also define whether the bot only collects information or may prepare appointments and internal tasks.

A clearer scope reduces later change requests and makes different implementation proposals much easier to compare on substance rather than headline price.

Keep ownership explicit

Assign one person to maintain approved answers and review failed conversations. Without operational ownership, even a well-built chatbot gradually becomes less accurate as services, schedules and policies change.
